Make an App Export Workflow Short That Stops at the Download

Show the selected data, actual export and downloaded artifact without implying that a local file was shared or posted.

Selected blank data cards pass through an export control to a separate downloaded file across a private boundary.
A downloaded file is an artifact, not a public handoff.

An export video should show what data was selected, which scope the user exported and what file actually appeared. Do not let a download icon imply that the file was shared, imported elsewhere or made public. Those later steps need their own evidence and permission.

This guide uses a fictional project app called NorthHarbor. Its sample records and export flow are invented to explain the editorial method, not to describe a Prolifik feature or customer result.

Choose the export question

“Export your data” is too broad for a short. NorthHarbor users may export one board, a filtered set of tasks or the whole workspace. The video should answer one task: “Download the tasks assigned to this team for review.”

Name the scope before recording. Check the actual app's selection state, file type, role requirements and destination. If an export runs in the background, the request and finished file are distinct states.

The background-task product video guide covers that asynchronous handoff. Here the core risk is different: a viewer may think a downloaded file was also distributed to someone else.

Show selection before the export control

Use a safe sample workspace with fabricated tasks. Show the filter or board selection, not just the final button. A clipped shot of “Export” with no context could make a scoped file look like a full account backup.

Step What the viewer needs to see Claim boundary
Selection Current board or filter Only these records are in scope
Export request Actual control and available format The user requested a file
Pending state Real status if work continues The file may not exist yet
Download The actual file appears A file was saved, not shared
Inspection One safe row or metadata check The file corresponds to the selection

If the product's export omits hidden columns or archived records, name that limit. Do not use a full-workspace headline over a filtered result.

Protect the source data

An export may contain email addresses, comments or sensitive customer notes that were not visible in the app's current filtered view. A public tutorial should use invented data, and the production team should inspect the downloaded file before it becomes a prop or screenshot.

Do not record a real customer's browser downloads folder. File names and adjacent documents can reveal private work. Use a clean sample directory and a neutral file name. Keep the real production export out of the marketing editing workspace.

A generated image of a spreadsheet can illustrate the idea of a file, but it cannot prove what NorthHarbor exported. Show the genuine sample file or a controlled diagram labeled as an example.

Distinguish file creation from delivery

A download is a local or browser-mediated handoff. It is not a post, an email, an integration sync or a customer approval. If the next workflow is to upload the file elsewhere, make that a separate step with its own destination and consent.

For NorthHarbor, the short can end with “Open the downloaded task file and check the selected rows.” It should not say “Your team is updated” unless the team actually received and used it.

The same distinction matters in Prolifik: a rendered content piece, a downloaded asset, a scheduled record and a public social post are separate outcomes in its MCP workflow. Do not collapse them because the user interface uses a similar button shape.

Keep the file visible long enough to verify

After the click, hold the actual file name or accepted state long enough to read at phone size. If the browser downloads UI is transient, capture a follow-up shot of the safe sample file in its destination folder. Do not fake a download toast.

The short can show one row matching the selected board. It does not need to expose the entire file. If the export is a ZIP or a multi-file package, identify the exact artifact in the production note so a reviewer knows what was checked.

Check the capture in a 320-pixel viewport. The filter label, export control and file name should remain readable. A decorative arrow is not a substitute for a clear crop. Use the mobile demo recording guide when the original window is too wide.

Make the sound and captions agree

If the presenter says “all tasks” while the screen shows only “Assigned to Team A,” correct the narration or rerecord. Do not silently change the caption to a narrower claim while retaining contradictory audio.

A video may need an editorial line such as “Sample data, team filter.” Put it in controlled text, separate from native app labels. Check that it does not cover the file name or result.

If the export is still processing when the recording ends, do not add a success card from another session. Preserve a job or file reference and finish the capture when the same request is ready.

Use Prolifik after the source is sound

Prolifik Video Hook & Demo can build a short from genuine prepared footage of the export task. It does not run NorthHarbor's export or verify the downloaded file. The current format replaces source audio with library music or silence, so put the scope and result into visible copy if this path is used.

Review the returned video for the selected data, actual download and truthful ending. Then authorize the media destination separately. A generated file is not a public post, just as an exported task file is not a delivered report.

If an export format changes, update both the file example and the spoken instruction. A CSV, PDF and archive are not equivalent handoffs. The user may need a particular format for the next system, but the short should show only the one actually selected. Keep the sample file and current product version with the final recording so a teammate can repeat the steps after a release.

Record the safe selection and downloaded file, then review the returned Hook & Demo video for scope and result.
