Prepare Demo Data Before Recording an App Video

Prepare a safe sample workspace before recording an app demonstration. Check names, notifications, browser data, account details and the final footage.

Prepare sample data before capturing the real product workflow.

The easiest private detail to remove from a product demo is one you never record. Use a dedicated demo account with sample data, rehearse the action, and inspect every screen the recording may reveal before you press record.

A clean starting screen is not enough. A profile menu can expose an email address. A search field can suggest previous customer names. A background notification can reveal a conversation while the product itself looks harmless.

Treat preparation as part of the demonstration, not a promise that cropping or blur will repair everything later.

Build a believable sample workspace

This example uses a fictional invoice app called PaperDock. The video will show how a small team marks an invoice as reviewed. No real customer, company or payment data is required to explain that action.

Prepare a sample workspace with a clearly fictional organization, an ordinary example invoice, a reviewer role and the status transition you intend to show. Mark the workspace or caption as a demonstration with sample data where a viewer could otherwise mistake it for customer evidence.

Visible field Example treatment What it preserves
Customer “Example Workshop” A realistic place in the workflow
Email A reserved example-domain address The shape of the field without a real recipient
Invoice An explicitly illustrative invoice The actual review action
API credential No secret on screen Product settings without usable access
Review history Sample reviewer and timestamp The meaning of the status change

Do not label fabricated results as a customer success story. Sample data can demonstrate a function. It cannot prove adoption, savings or revenue.

Prepare the browser around the app

A separate browser profile can keep personal bookmarks, saved history, passwords and settings apart from your demo environment. Google documents that profile separation, but it is not a security barrier against someone who has access to your device.

Use the profile to reduce accidental clutter, then inspect what it actually contains. Remove unnecessary bookmarks from the visible area, close unrelated tabs and avoid recording a personal account menu. Check autofill suggestions before typing in the take.

Choose the smallest capture area that still explains the task. Recording one app window can avoid unrelated desktop content, but menus and notifications inside that window still need review. A tight crop is not a substitute for preparing the source.

For the framing itself, see recording software demos for mobile. This page addresses the information inside that frame.

Rehearse the paths that reveal more data

Run the exact sequence without recording. Open the menus, dialogs and error states you expect to use. Look especially at recent projects, search suggestions, billing settings, invite dialogs, download names and shared-link previews.

In PaperDock, clicking “Assign reviewer” might display the team's full member list. The demo account should contain sample members before the take, rather than relying on a fast mouse movement to hide real names.

Test an error safely if it belongs in the explanation. A validation message might echo an uploaded filename or an address. Replace that input before capture, not after discovering it in the exported video.

If the task genuinely needs a secret, stop the recording before entering it and resume on a safe screen. Do not use a production key as a visual prop. A placeholder can communicate the field without providing usable access.

Control interruptions and recording permissions

Close chat and email apps that are not part of the demo. Review notification settings, including exceptions that can still appear during a Focus mode. Do not assume a single toggle hides every possible interruption.

Also check what the recorder is permitted to capture. Apple's screen and system-audio controls distinguish recording access. The appropriate choice depends on the footage you need, and a silent demo may not need system audio at all.

If a colleague is speaking or their screen is involved, agree on the intended public use. This preparation checklist is editorial guidance, not a guarantee of legal compliance or permission to disclose someone else's information.

Review the finished picture at full size

Watch the whole take before editing. Pause during menus and transitions. Small details can appear for a few frames and remain recoverable even if normal playback feels fast.

If something private was captured, prefer recording the short section again in the safe workspace. Where an authorized editor must cover it, inspect the coverage throughout movement and transitions. A static rectangle may fail when the screen scrolls or zooms.

Listen too. A clean picture does not remove a spoken customer name. The same private detail may survive in captions or a filename supplied with the export.

Hand off only the approved recording

Give the editor a source file, an allowed-use note and the sample-data label. Keep unsafe takes out of the delivery folder so someone cannot select the wrong one.

With that prepared footage, Prolifik's Video Hook & Demo format can build a product-led short around your recording. It is not an automatic redaction tool. Its current output replaces recording audio with library music or silence, so required context must remain clear in the picture and overlay copy.

Use the product demo script guide to decide what the safe recording actually needs to show. Good preparation leaves a believable product action without making private data part of the proof.
